Top things to be done using access control units

In this post we introduce the  top things that can be done using access control units in work environment either they are used for check-in and check-out or for opening any door type for restricted area. These functions can be done only using access control units having the ability to identify or recognize the identity of the person through fingerprint, RFID tags or cards, or face detection and connected to a server that logs and takes actions.

[1] Top of the list, controlling the salary overtime and deductions. This is the traditional purpose for using check-in and check-out devices.

[2] Green spirit: Switch off lights, air conditioners, PCs, water heaters, water dispensers, and other devices when all employee in certain location had checked out. Also, it will turn on lights and devices once one employee had checked in.

[3] Project management: Update project schedules, Gantt charts, and projects critical paths in project management software based on the availability of human power.

[4] Extra security: Turn on door security alarm in restricted locations when all people had checked out

[5] Trace responsibility: For restricted access areas, and in the case of non-authorized person entering, if door is left opened, the responsible person is probably the last one opened the door.

[6] Meeting attendees management: Update MS Outlook or mail calendar for better management of meetings and conferences. If the person didn't check-in in the location, then it will be marked as not available in Outlook.

[7] Meeting rooms management: Turn off the availability of meeting rooms if they have admins and all of the admins didn't check-in in the plant

[8] Reminders: Create on-arrival or on-departure reminder note for employee when he(she) checks in or out.

[9] Service management: In locations or plants preparing food for the employees, access control unit can be used for counting number of employees checked-in so a proper amount of food can be prepared so no food will be wasted.

[10] Emergency: Send automatic notification for emergency evacuation to mobile phones of all employee had checked-in in case of emergency (this can be a backup solution if emergency alarms didn't work).

[11] Data protection: Extra protection for PCs even if someone had entered the correct password of the PC. If this PC belongs to specific person, then it will not be unlocked until he(she) check-in.

[12] Safety check: Automatic safety check in case of bad weather conditions and explosions.

[13] Update mail address book: Alert IT to remove email of person who didn't check in for long time. This may be an indication that he/she left the company.

Copy table from MS word to blogger post

Days ago, I was trying to copy a comparison table from MS Word document to a blogger post and I found that it loses format when pasted especially the widths of columns. After some investigation and trials I found the tricks to save the format and all of them are done with the table properties user form. Here you are the tips:

[1] From table properties, "Table" tab, set the preferred width of the table by checking the preferred width checkbox and writing your value in the adjacent textbox

[2] Select "Column" tab, set the preferred width of each column by checking the preferred width checkbox and set the preferred width. Make sure that the summation of column widths equals the total table width set in step [1] . The following captions show the column width for each column in my table.

[3] Finally, the most important trick: don't use a long continuous text that has length more than cell width in characters (like long web address). You can insert a hyperlink for short text instead of writing the full URL. The following will show what I mean in two possible cases:

Case 1: Writing long normal text in cell

Column 1
This is a normal text paragraph with spaces, it is not continuous so it does not cause any problems and Excel can still keep the same column width of 3 inches.

Case 2: Writing long continuous text in cell (see the effect on column 2 width)

Column 1

Another example below on Case 2 (see the effect on table width and column 2 width)

Slow internet connection because of windows 10 update

I had faced for some days very slow internet connection (my internet speed is 1 Mb/sec) and I discovered that it is slow because of Windows 10 updates (Windows update download speed was 0.9 Mb/sec). In Windows 10 you cannot stop updates at all even using the task manager, but there is an alternative way just in 3 steps:

[1] Open the start menu and search for "WiFi" and open "Change WiFi settings" to get the following window.

[2] Select "Manage known networks" (highlighted in red box in the image above). A list of networks will be displayed as follows.

[3] Select the network you want and click "Properties" button to get a window like the shown below. Finally, turn on "Set as metered connection" button (shown in the red box below). Now, you will not have slow internet connection anymore (for this network only) because of windows 10 update.

Smart phone stroboscope tachometer

Today, I searched over the app store for a stroboscope tachometer application to visualize oil flow and splash pattern in transparent hermetic refrigerant compressor model (typically its motor RPM is around 3000 rpm or 50 Hz) by seeing stagnant images. The idea of this category of applications is using the phone flash light as a stroboscope light and blinking it using the set frequency to act like stroboscope.

I downloaded "Stroboscope tachometer app V 3.2" on my Lenovo A7000-a smart phone and I calibrated the stroboscope app with non-contact tachometer UNI-T UT372 and I got relatively amazing results. Since this non-contact tachometer captures the edge rise of the reflected light from the rotor, then it was good for calibration for this stroboscope app.

For my smart phone, the app worked fine up to 1000 rpm with high accuracy. By increasing the RPM the error increases in diverging way. At higher RPM values more than 1500 rpm, the application can't exceed the value of 1500 rpm with fluctuation in RPM values (this may be due to processor speed of the phone and I guess it can generate higher values on other phones with higher processors frequency).

Excel hyperlink screen tip as comment

Tags:
Excel cell comment tricks

Excel cell hyperlink screen tip to comment
Excel cell comment without arrow
Excel cell comment cell without top-right red corner triangle

The trick is done by creating a fake/dummy/useless hyperlink that refers to nothing (this can be done only programmatically), or you can create a hyperlink that refers to the cell itself using the "insert hyperlink" dialog.

To insert a hyperlink for a given cell, right click on the cell and press " Hyperlink...".

"Insert hyperlink" dialog will popup; Press "Place in this document" button on the left side, select the sheet, edit range, and finally press "ScreenTip..." button and write your text (comment).

After applying whatever the comment you want, it will look like the following capture below.

Programmatically, a single line of code is needed to do this :)

Disadvantages:

• Maximum number of characters per hyperlink screen tip is 256 characters

• You can't add new line using dialog. This only can be done programmatically using VBA code as shown before.

• You can't customize any thing in the screen tip: dimensions (width, height), font type, font size, font color, fill color, font effects (Bold, Italic, Underline),..., etc

• Screen tip has maximum width and maximum height limits. The example below show a multi-line screentip which is done using VBA code.

This is the code to generate the last screen tip.

Advantages:

• Extra parameter for saving data for cell

• No connecting arrow from comment to cell (personally, I don't like the shape of the arrow)

• The cell will not have top-right red corner triangle which in sheet full of comments with small cells will look horrible

• If cell is located at the most-left of your screen, screen tip will be shown in the visible region while the comment will not.

• Once the cell is deleted, hyperlink is removed, and the screen tip also is removed. In comments, you have to delete the comment manually.

• You can assign a screen tip to number cells at once by inserting the hyperlink for this range of cells.

It is done...

Excel VBA: creating custom dialog (user form)

Tags: Word art in dialog sheet, Add word art to dialog sheet, Add shape to dialog sheet, Shape in dialog sheet, Rich text in dialog sheet, Add rich text in dialog sheet, Equation in dialog sheet, Add equation to dialog sheet, Add picture to dialog sheet, Picture in dialog sheet.

I am working with VBA user-forms for long long time and they unfortunately have ugly classic interface as you can see the user-form below). I also tried to solve this problem using Visual Studio, but I couldn't achieve that as I am not a professional programmer :)

I was always wondering how to create user-forms in MS Excel with nice looking controls till I discovered by accident what is called "Dialog sheets". In dialog sheet you can create a user-form assigned to workbook and add your own controls and assign macros to them. Here under, few quick steps to get it done in few minutes:

Step 1: Creation

1. Create an new workbook (or open an existing one). Right-click on any sheet tab to get a menu like in the image below

2. Click "Insert..." button, then you will get a dialog like the the one shown below

3. Select "MS Excel 5.0 Dialog" and press "OK" button. Then you will get a new sheet as shown below which has default name "Dialog1"

Step 2: Modification

1. Open the "Developer" tab, then press "Insert" button to be able to add "Form controls"

2. You can add and resize controls to get user-form like the one shown below

Step 3: Assign macros to controls

You can right-click on any control and select "Assign macro..." from the popup list.

Step 4: Calling (displaying) dialog

As an example, you can insert a "Command button" in :"Sheet1" and assign the following single-line macro to it which will display your dialog

Now you can click on the button "Display my dialog" and display the custom dialog (user-from) like magic!!!

Conclusion:

For me, dialog sheet form is very pretty, nice look, and visually-pleasant because its controls have the native theme of the operating system (Windows 7 in my case) Windows Vista or Windows XP, but it does not support the following controls which already available in VBA user-forms:

- Tab/notebook/multi-page control to display multiple pages
- Slider control
- Frame (with sibling controls)

One of the great advantages of dialog sheets that you can insert "Objects" in them like:

- ٍShapes!!! - Image

- Visio object (drawing)
- Microsoft equation
- Word file
- etc

The following user form created by dialog sheet contains some interesting features (guess them out)...

The following is a trick, but it is a little bit useless. You can add a dialog inside another dialog by drag copying (not by copying and pasting) the dialog sheet.

Enjoy...

Upgrading excel text filter

The following is a VBA programming concept for implementing a text filter for MS Excel sheets. The text filter has the following features:

- Uses ActiveX controls
- Instantaneous search and update
- Search for cells that contain words even if they are not complete
- Search for words regardless the case of the word: upper case, lower case, or mixed case
- Search for words regardless the order of them
- Search words are assumed to be space delimited
- Extra spaces are not considered

This is a demonstration captures:

After searching for word "shady":

After searching for "Mohsen Shad":

Here is the code below (sorry for adding it as a capture because I don't know how export it with colored keywords):

Excel VBA: Get source data GetSourceData

After searching a lot for the solution of this problem, I want to introduce it. For charts, MS Excel does not has a native function to get the source range address for series collection, but we can -with a trick-  get some useful information about the source range using string processing.

The following two pictures show the layout of series collection formula. I noticed that sometimes I get the first layout and sometimes I get the other one (I don't know exactly when I get each one). The difference between them is just the quotation marks of sheet name. The series collection formula has four data:

(1) Data series name: represented by address or string
(2) Independent variable (x-axis) values: represented by address or defined name
(3) Dependent variable values (y-axis) represented by address or defined name
(4) Index of data series (read only value)

The first layout (with quotation marks):
The second layout (without quotation marks):
The following code demonstrates how to get source sheet name for the second layout (Excel 2007)

Sub GetSeriesCollectionData()

' Get the formula of the first data series
SeriesCollectionFormula = Charts("Chart1").SeriesCollection(1).Formula

' Some string processing...
StartPos = InStr(SeriesCollectionFormula, "(")     'Index of first "(" found in the string
EndPos = InStr(SeriesCollectionFormula, "!")    'Index of first "!" found in the string

' Extracting the name of source worksheet using Mid function
SourceWorkSheet = Mid(SeriesCollectionFormula, StartPos + 1, EndPos - StartPos - 1)

'Display the source work sheet in a message
MsgBox ("The name of source work sheet of this chart is : " + SourceWorkSheet)

End Sub
